Commercial Refrigeration and Equipment Maintenance, Newcastle and the Hunter

Most commercial equipment does not fail without warning. It fails after months of running harder than it should, with a condenser nobody has cleaned and a door seal nobody has checked, and then it stops on the busiest night of the month.

Summit Air and Refrigeration provides maintenance contracts and scheduled servicing for commercial refrigeration, air conditioning, catering equipment, warewashing and beer systems across Newcastle, the Hunter Valley and the Central Coast.

We do not sell packages off a shelf. Every program is built around the site — what equipment is on it, how hard it runs, and what a failure would actually cost you.

What a maintenance program covers

A program is scoped to the equipment on your site. Across a typical hospitality or commercial kitchen that means:

Refrigeration and coolrooms

Condenser cleaning and coil condition, refrigerant charge assessment, defrost operation and timing, door seal and hinge condition, temperature verification against the controller reading, drain line clearance, and electrical and control checks.

Air conditioning

Filter condition and replacement, coil cleaning, refrigerant and electrical checks, drainage, thermostat and control verification, and belt and bearing condition where fitted.

Catering equipment

Descaling and steam generator inspection, door seal condition, water filter condition, temperature calibration against actual cavity temperature, element and contactor checks, and fault log review.

Dishwashers and glass washers

Detergent and rinse aid dosing calibration, wash and rinse temperature verification, descaling, wash arm and jet inspection, filter condition, and drain and pump operation.

Beer systems

Scheduled line cleaning, glycol system checks, temperature verification at the tap, and coupler and tap condition.

How often

There is no single right interval — it depends on how hard the equipment runs and what a failure costs.

Monthly suits high-load sites. Busy club and pub kitchens, venues running multiple coolrooms and bars, and any site where equipment runs close to capacity most of the week.

Quarterly suits most standard commercial kitchens and mid-sized venues.

Six-monthly suits lighter-use sites, seasonal venues and offices.

 

Some equipment sets its own interval regardless. Beer lines need cleaning every 7 to 14 days no matter what else is on the program, and combi ovens in hard water need descaling more often than the rest of the kitchen needs attention.

Coastal sites need condenser attention more often than the manufacturer's schedule assumes, because salt air degrades coils faster than inland conditions.

Why scheduled beats reactive

Breakdowns happen at the worst possible time, and that is not bad luck. Equipment fails under load. Under load means Friday night, a full function, or the first 38-degree day of summer. A system that would have been fine on a Tuesday morning fails when the room is full.

Reactive repair costs more than the callout. A failed coolroom is a callout plus stock plus a service you cannot run properly. The repair invoice is often the smallest number in that day.

Most failures are visible weeks ahead. A condenser gradually loading up, a door seal starting to perish, a compressor cycling more than it should. All of it is obvious to someone looking. None of it is obvious to someone not looking.

Repeat failures are usually a symptom, not a fault. A compressor that has gone twice in two years is not a compressor problem. Scheduled attendance is how the underlying cause gets found instead of replaced.

What contract sites get

Guaranteed priority response. Emergency breakdowns on a maintenance program are attended within 2 hours, guaranteed. Contract sites are attended ahead of general callouts, so when several venues are down at once you are not waiting behind someone we have never met.

Door seals held for your equipment. We manufacture and supply commercial door seals in house. For contract sites we measure and record the seals on your coolrooms, freezers, combi ovens and display fridges during the first visit, so a failed seal is replaced on the spot rather than ordered in with a lead time. No other refrigeration contractor in the region can do this — they order the same seals we make.

An asset register and annual replacement forecast. During setup we record every piece of equipment on site: make, model, serial, age and condition. Once a year you get a written forecast of what is likely to need replacing in the next twelve months and roughly what it will cost.

Most venues do not have this. It means you are budgeting for a coolroom replacement before it fails rather than finding the money in a week, and it gives you something to take to whoever approves capital spend.

What's included and what isn't

Being clear about this up front avoids arguments later, your service contract covers:

Included in the program: scheduled attendance, inspection and testing across the agreed equipment, cleaning, calibration, minor adjustment, and a written report after each visit covering what was done and what needs attention.

Charged separately: parts, repairs identified during a service, and breakdown callouts outside the scheduled visits.

Written records and compliance

Every visit produces a written report. For sites that need it, that record covers what was inspected, temperatures recorded, work carried out and anything flagged for attention.

Aged care, schools, health facilities and food production sites generally need this for their own compliance obligations. Pubs, clubs and restaurants generally do not, but find it useful at insurance and audit time.

Multi-site and portfolio clients

If you run several venues, one contractor across all of them is simpler than several. Same reporting format, same technician familiar with the sites, one invoice, and one number to call when something stops.

We cover refrigeration, air conditioning, catering equipment, warewashing, beer systems, commercial door seals and building management systems, so most of what is on a site is covered by one program.

Getting started

  1. Site walk-through. We attend and list what is on site, what condition it is in, and what needs attention now versus what can wait.

  2. Scope and interval. We propose what should be covered and how often, based on the equipment and how hard it runs.

  3. Written program. You get the scope, the schedule and the cost in writing before anything starts.

 

There is no obligation from the walk-through. If the answer is that your equipment does not need a program, we will say so.
